Event Logistics

Get What You Need to Show Your Movie

There are two primary film licensing agencies for the film studios. These film licensing companies do not represent all of the same studios. If the movie you select is not available at one licensing company, contact the other to see if the title is available through them. Some popular movies such as Star Wars, have not been available for outdoor screenings in years at the request of the copyright holders.

Here are the two film licensing companies that you should contact directly to secure the rights to show a movie at a public venue. The sales representatives are very helpful about letting you know the movies that are scheduled to be released on DVD right before your event.

There are two primary film licensing agencies for the film studios that we recommend:
Swank Motion Pictures and Criterion USA.

Reservations

Reservations are made on a first come, first-served basis and are tentative until secured with a non-refundable deposit and signed event agreement. When we receive the deposit, Twilight Zone Cinema’s services are guaranteed for your event on your scheduled date.

Other Media

Twilight Zone technicians are willing to present more than one movie. You can present sponsorship ads, slides, on-screen video games, music videos, live camera feeds, announcements, and more. Your choices of media and advertisements should be submitted to us one month before your event. We cannot guarantee the performance of your media if we are not able to test it on our system prior to the event. Let us know if you need assistance preparing any pre-movie media. We will quote you an hourly rate for video encoding, graphic design, and DVD authoring services.

Weather

If the weather looks threatening (imminent rain, rain, looming thunder clouds, dangerous winds capable of damaging equipment) Twilight Zone reserves the right to protect its equipment by canceling set-up/production. Twilight Zone reserves the right to delay set-up or pause the production until suitable weather conditions exist. It is at the discretion of Twilight Zone to decide whether the event will be called off due to inclement weather. Should we decide to cancel, read our Weather Guarantee and re-scheduling policy.

Event Liability Insurance

Any accident involving Twilight Zone equipment or employees to any outside participant(s) is covered by Twilight Zone’s event liability insurance coverage. You may request to be additionally insured under our policy at your events. We carry a minimum of two million dollars liability.

Set-Up Procedure

Depending on the venue, Twilight Zone technicians are scheduled to arrive 2 – 2.5 hours before sundown for set up (typically 4:00 pm – 6:00 pm). Audio testing begins shortly after the screen is standing. Projection test will begin at dusk. The movie screen will be deflated 15 minutes after the end of the movie unless otherwise specified by the customer. Typically, all equipment will be packed up within two hours after the completion of the movie.

Payment

A 50 % deposit is required to secure the event date. The balance is due on the day of the event.

The Parties understand weather can alter or affect the Event. The following terms are defined to further understating between the Parties. “Complete Cancelations” are described as events that are canceled with no rebookings made. “Rebookings” are described as event dates that have been moved to a new available date within the same calendar year as the original booking. “Inclement rebookings” are events that have been shifted due to inclement weather to another available date within the same calendar year as the original booking.

Customer understands that the Company must be notified of any Complete Cancelations seven (7) days prior to the original set date of the event, listed in the Agreement. Under sole discretion of the Company, Customer understands and agrees that proper conduct of this procedure will result in a complete return of the deposit and any advanced payment made.

Customer understands that failing to uphold this procedure may result in a withholding of the Deposit in partial or in full. In this case any Advance Payment received will still remain refundable to the Customer.

Customer understands they are allotted one (1) rebooking per calendar year without occurring any extra fees.

Customer understands that upon exceeding this limit they may be charged an extra fee of $200 per rebooking due before the rebooked events date.

Customer understands the Inclement rebooking period starts 48 hours prior the events set date. In the case where an Inclement rebooking is necessary. No charges will be applied if Company has not begun travel to Customer’s venue. If the weather looks threatening (imminent rain, rain, looming thunder clouds, dangerous winds capable of damaging equipment) the Company reserves the right to protect its own equipment by canceling setup/production. The Company reserves the right to delay setup or pause the production until suitable weather conditions exist. In the case where no rebookings have been completed and the call to cancel the event has been made.

Customer understands the Deposit in its entirety may be withheld as a Cancellation fee. Customer may choose to rebook the event with a $500 Weather Related Rebooking Fee, which will be charged to cover employee time, fuel and equipment. This fee must be paid seven full days before the next events date.
